Position Summary
The Project Coordinator supports the administration and implementation of grants and special projects for the Utah Hospital Association (UHA). This position supports day‑to‑day grant administration, project coordination, fiscal compliance, contract execution, and stakeholder engagement across all projects.
The Project Coordinator helps to ensure UHA meets all federal and state requirements, tracks competitive funding cycles, supports project managers, and delivers timely reporting to UHA leadership. Grant writing and grant management experience are preferred.
Key Responsibilities
Grant Administration & Compliance
- Support full lifecycle management of major grants and special projects
- Maintain compliance with state and federal regulations
- Assist with the preparation of monthly reimbursement requests and ensure documentation meets state and federal procurement standards
- Participate in weekly meetings with staff and maintain continuous communication channels with partners
- Ensure all activities adhere to federal expenditure timelines and fiscal‑year spend‑down requirements
Project Coordination & Implementation
- Track timelines, deliverables, and milestones across all grants and special projects
- Develop project plans, risk mitigation strategies, and performance dashboards
- Support communication, marketing, and outreach strategies
- Track contract obligations and measurable outcomes
- Conduct ongoing reviews of expenditures, budget alignment, and sustainability plans.
- Prepare and submit quarterly progress reports
Technical Assistance & Education
- Provide targeted technical assistance to partners
- Support partners in meeting milestones and navigating compliance requirements
- Facilitate shared learning through virtual meetings, webinars, and collaborative communication platforms
Required Qualifications
- Bachelor’s degree in healthcare administration, public administration, business, finance, or related field
- Demonstrated experience supporting complex, multi‑stakeholder projects
- Strong financial acumen, including budgeting, invoicing, reconciliation, and compliance tracking
- Excellent organizational skills and ability to manage multiple concurrent deadlines
- Strong interpersonal, written, and verbal communication skills
- Proficiency with Microsoft Office or Google Workspace
Preferred Qualifications
- 5+ years of experience in grant management, project management, or public‑sector program administration.
- Experience working with federally funded programs or large public‑sector grants
- Background in healthcare or hospital administration
